You can start the one-time free trial shown in card checkout, where the current duration and allowance come from our live plan configuration, or pay upfront with mobile money for the plan of your choice.
This Refund Policy applies to paid Starter, Pro, and Business plan subscriptions purchased by card or mobile money, including the first charge that occurs automatically when a free trial converts, and forms part of our Terms of Service. If anything here conflicts with the Terms, this policy governs refund-specific questions.
Every paid plan payment (Starter, Pro, or Business) is covered by a 30-day money-back guarantee. If you're not satisfied for any reason, contact us within 30 days of the payment date and we will refund that payment in full to your original payment method — no conditions, no partial refunds, and no need to explain why.
This guarantee applies to every payment on a subscription, not just your first one: each renewal charge starts its own new 30-day refund window from the date it's charged.
Nothing in this policy limits any non-waivable statutory refund right you may have under applicable consumer protection law — those rights apply in addition to, and are not restricted by, the 30-day guarantee above.
Email info@qaribuhub.co.ke with your registered account email, the plan and approximate date of the payment, and a payment reference or receipt number if you have one — this just helps us find your payment faster, it isn't a condition of the guarantee. We aim to acknowledge refund requests within 2 business days and issue the refund within 7 business days of your request.
Refunds are returned to the original payment method: mobile money reversals can take longer to reflect than the initial charge, depending on the provider's processing times, which are outside our control; card refunds are typically returned to the same card and can take 5–10 business days to appear on your statement, depending on your bank or card issuer.
We may ask you to confirm you control the merchant account or the phone/card used, purely to verify your identity and protect you against someone else claiming your refund.
Cancelling during your free trial: from the Billing page in your dashboard, click "Cancel free trial." This takes effect immediately for billing purposes — your card is not charged at conversion, though you keep using the Service until the exact original trial end shown there.
What happens if you don't cancel the trial: unless you cancel before it ends, you are automatically enrolled in the package selected when the trial began and your card is charged that package's then-current price the moment the trial ends. A free trial can be claimed only once per account and is not restored by cancellation. We email you roughly 2 days before conversion and again afterward. If you didn't mean to let the trial convert, contact us — while this policy's 30-day guarantee (Section 2) is the normal route, we'll also look at trial-conversion complaints in good faith even outside that window.
Cancelling a paid subscription: cancel at any time from the Billing page in your dashboard — this takes effect at the end of your current paid period, and you won't be charged again after that. We confirm the cancellation on screen and by email, including the date access ends. After the period ends you can resubscribe anytime to keep the chatbot live. If you'd rather receive an immediate refund of your current payment instead of running out the period, use the 30-day guarantee in Section 2 and Section 3.
Mobile money payments on QaribuBot are prepaid for the period you choose. Access starts once payment is confirmed, and you top up again from Billing when you want another period.
Card checkout sets up automatic recurring monthly billing as part of completing payment — this is how the subscription (trial or paid) is created, not a separate opt-in step. If you no longer want automatic renewal, cancel from the Billing page in your dashboard before the renewal date; cancelling there takes effect at the end of your current billing period (or immediately for billing purposes if you're still in the trial), and your card will not be charged again after that.
If a card renewal or trial-conversion charge fails (for example an expired or declined card), we flag your account and email you immediately so you can update payment details from the Billing page — you keep access for a short grace period before your subscription is cancelled, rather than losing access the moment a charge fails.
If you have a billing concern, please contact us first at info@qaribuhub.co.ke — a refund under Section 2 is usually faster than a formal dispute. Filing a chargeback or reversal with your bank, mobile money provider, or card issuer without contacting us first can result in your account being suspended while we investigate, and may delay resolution.
If a chargeback is later found to be unwarranted (for example, you'd already received a refund for the same payment, or the chargeback was filed outside the 30-day guarantee window and no statutory right applied), we reserve the right to recover the disputed amount, suspend the account pending resolution, or decline future service, in addition to any rights our payment providers give us.
We may update this Refund Policy from time to time, for example to reflect new plans, payment methods, or processing timelines. Material changes will be notified by email or an in-product notice before they take effect and, like the Terms, will not apply retroactively to a payment you've already made under the previous version.
